PRIVACY POLICY RELATED TO ENVERA’S VIRTUAL GATE GUARD VERIFICATION PROCESS

Privacy is very important to Hidden Eyes, LLC d/b/a Envera Systems (“Envera”). This Privacy Policy describes how Envera collects and manages personal information as part of the services Envera provides its Clients using Envera’s Virtual Gate Guard Services.
Collection of Information
Envera collects certain personal information from those individuals (visitors or residents) who seek entry into the Community using the Virtual Gate Guard kiosk. Envera’s Automatic Driver’s License Recognition (“ADLR”) captures an image of the front of the individual’s driver’s license or identification card (“card”).
Certain information on the front of the card (name and driver’s license number/identification card number) is collected using Optical Character Recognition (“OCR”) technology, and cross-referenced with the Community’s list of approved residents and visitors. This information is stored by Envera for as long as the individual is valid in our system (until deleted, or in the case of temporary or one-time visitors, until that authorization expires).
In addition, the image of the front of the driver’s license is also captured, and is stored with an event record created each time the individual comes through the gate into the Community. Event records are deleted automatically after they exceed the event retention period (currently 90 days).
To be clear, Envera NEVER “swipes” the magnetic strip or bar code on the back of the card, or otherwise obtains access to any of the information electronically coded in a magnetic strip or bar code.
Use of Collected Information
Envera uses the personal information received from each individual to cross-reference with the database of approved Community residents or visitors. Envera will not use personal information for any purpose other than managing authorized access to the Community. Envera stores personal information on computer servers owned and operated by Envera.
Disclosure of Personal Information
Except as set out in this Privacy Policy, we do not sell, trade, or otherwise transfer personal information to third parties. We may, however, disclose personal information in the following limited circumstances:
- If required or permitted by law;
- In the event that we sell or transfer Envera to an affiliate, successor, assign or other third party entity, our successors and assigns may collect and use personal information for substantially similar purposes as described in this Privacy Policy; or
- With proper consent
Security
Envera takes precautions to help to protect personal information from unauthorized access, theft, alteration, loss or misuse. Envera follows industry standard best practices to protect your data. We utilize enterprise grade firewalls to inspect all connections entering and exiting our network, follow “least privilege” principles when assigning permissions to secured data, and have extensive monitoring systems in place to audit access to protected data.

Amendments
Envera reserves the right to change this Privacy Policy, and any of our procedures concerning our practices for managing personal information, at any time and without prior notice, subject to applicable law. If we have modified or amended this Privacy Policy, we will post the most current version on our Site and note at the top of the page the date the Privacy Policy was last updated. Any changes that are made to this Privacy Policy will apply both to any personal information that we hold prior to the effective date of the amended Privacy Policy, and to any personal information that we collect on or after such effective date.
